About our privacy policy

When placing an order with "Japanese Servies" we need name, invoice and delivery address, e-mail address and telephone number. If a company orders, we need company name, delivery address, email address, telephone number to send your order. For companies within the EU, we need the VAT number to draw up a 0 - invoice. These company details are only used to prepare the invoice, to send the ordered products or to contact the order.

 

About the data processing

Below we describe how your data is processed, where we store it, which security techniques we use and with which parties we share the data necessary to process our orders to our customers. We have concluded processing agreements with these business parties that guarantee that those third parties handle our customer data carefully, according to the AVG Act, which will take effect on 25 May 2018.

We will not send unsolicited newsletters. Only customers who have signed up for the newsletter receive this.

Our domain names and email traffic are hosted at hostnet. Hostnet will also handle the following new laws and regulations confidentially with you and our data.

We have signed a processor agreement with Hostnet.

Onestopwebshop

We host one of our domain names here and have a processing agreement, so that the privacy of our customer data is guaranteed.

 

Shipping methods

We share our customer data name, address, email address and telephone number with the following shipping organizations. This information is only shared with the purpose of sending the parcels to our customers and if necessary contacting them. The customer data is not used to approach unsolicited customers for advertising purposes.

Payment methods

Your bank details are not stored by us, due to security considerations. For payment you have the choice between paying with a payment provider or bank transfer. At the moment you choose a payment provider, you enter into an agreement with the relevant payment provider. At that time, the privacy policy of this payment provider applies to the data you provide.

 

Mollie

We use a payment provider (Mollie). Through this payment provider we can offer our clients payment services such as Ideal, Mr Cash and Sofortbanking.

Since Mollie is not seen as a processor but as a controller (art.4 / 7 AVG) it is not necessary that a processing agreement with Mollie must be concluded.

Invoicing and accounting

For invoicing and accounting, we are obliged by the government to keep the invoices for 7 years.

Invoices older than 7 years are destroyed by us.

 

Purpose of data processing

We only use your data for our services. The purpose of the data processing is always directly related to the assignment you provide. We do not use data for (targeted and unsolicited) marketing. Your data will not be shared with third parties, unless we have to comply with accounting and other administrative obligations. These third parties are all bound to secrecy or the ground of the agreement between them and us or a legal obligation.

 

Automatically collected data

Data that are automatically collected by our website are processed with the aim of improving our services. This data (eg your IP address, web browser and operating system) is not personal data.

 

Retention periods

However, we are obliged by the government to keep the personal data on invoices and in our bookkeeping for 7 years. Afterwards, these data will be destroyed by us.
